Los Angeles law firm server room with engineers verifying tested backup and disaster recovery systems

Part of Advanced Networks’ Law Firm IT Services in Los Angeles hub.

For a law firm, data is the practice. Pleadings, discovery, contracts, client correspondence, time entries, and the document management system that ties it all together are the firm’s institutional memory and its work product. Lose access to that data the week before a trial or a closing, and the damage is not just operational, it is ethical, financial, and reputational. Yet many Los Angeles firms run on backup arrangements that were configured years ago, have never been tested, and would fail at the exact moment they are needed.

Advanced Networks builds disaster recovery and backup programs designed specifically for the way law firms work and the deadlines they cannot miss. We protect your document management system, email, and matter files with immutable, regularly tested backups, and we design recovery around realistic objectives so you know precisely how fast you can be back to billable work. With more than 20 years serving Los Angeles and Orange County, offices on Wilshire Boulevard and in Irvine, 24/7 monitoring, and an 8-minute average response time, we treat your continuity the way you treat a filing deadline: as something that simply cannot slip.

What we actually back up at a law firm

A generic “we back up your server” arrangement misses the systems that matter most to a practice. We map your environment and protect the data the firm cannot function without:

  • The document management system (DMS). Whether you run NetDocuments, iManage, Worldox, or files structured by matter on a server, the DMS is the heart of the firm. We protect both the documents and the metadata that makes them findable.
  • Email and calendars. Email is often the de facto record of client communication and deadlines. Microsoft 365 retention defaults are not a backup, so we add true backup of mailboxes and shared calendars.
  • Matter and client files. Active and archived matter folders, scanned documents, and exhibits.
  • Practice management and accounting data. Time, billing, trust accounting, and case data that the firm runs on.

This protection is part of a well-run law firm managed IT environment, where backup is integrated with the rest of your infrastructure rather than bolted on.

Immutable and tested backups: untested backup is no backup

Two failures account for most real-world data disasters at law firms. The first is that ransomware encrypts the backups along with the live data, because the backups were reachable from the network. The second is that the backups were never tested, so no one discovers they have been silently failing until a restore is attempted in a crisis.

We solve both. Your backups are immutable, meaning that once written they cannot be altered or deleted within their retention window, even by an attacker with administrative credentials. And we test restores on a defined schedule, actually recovering files and systems to verify they come back clean and complete. A backup you have never restored is a hope, not a plan. We turn it into a plan, and we document each successful test so you have evidence for your cyber-insurance carrier and clients.

RTO and RPO explained for your firm

Two numbers define what recovery actually means for your practice, and every firm should know its own targets:

  • Recovery Time Objective (RTO) is how long it takes to get a system back online after an incident. If your DMS goes down the morning of a closing, is your target two hours or two days? That difference is a design decision.
  • Recovery Point Objective (RPO) is how much recent work you can afford to lose, measured in time. If backups run once nightly, a mid-afternoon failure could cost a full day of edits. Firms doing heavy document work often need much tighter intervals.

We help you set realistic RTO and RPO targets by system, then engineer the backup frequency, replication, and recovery infrastructure to meet them. This is where a thoughtful backup and disaster recovery design pays for itself, because the targets are driven by how your firm practices, not by a vendor’s default settings.

Continuity during trial prep, filings, and closings

The worst time for an outage is also the most likely time it will hurt: a discovery deadline, a trial week, a real-estate or M&A closing. During these high-pressure windows, a few hours of downtime can mean a missed filing or a deal that stalls.

Our business continuity design keeps the firm working even when primary systems fail. With virtualization and rapid failover, critical systems can be brought back on standby infrastructure quickly, so attorneys and paralegals keep access to the matter files and email they need. We also coordinate priority recovery around your calendar, so if we know a major trial or closing is imminent, that practice group’s systems are first in line. For firms that want to eliminate single points of failure entirely, we design cloud backup and disaster recovery so the firm can run from anywhere if an office becomes unavailable.

Recovering from ransomware without paying

Ransomware remains the most common catastrophic event we help firms recover from, and paying the ransom is the worst option. It funds criminals, offers no guarantee of clean data, and can itself create legal exposure. The way to make payment unnecessary is to have clean, immutable backups that the attacker could not reach.

When a firm has that foundation, recovery looks like containment, restoration from a known-good point, and verification, not negotiation with criminals. The technical defenses that prevent and detect these attacks in the first place are part of our law firm cybersecurity program; the disaster recovery side ensures that even if an attack succeeds, your firm restores its own data on its own terms.

Hardware failure, accidental deletion, and the everyday disasters

Not every disaster makes headlines. Far more often, a server’s drive array fails, a partner’s laptop dies with un-synced files, or a paralegal deletes the wrong folder two days before it is needed. These everyday events cause real harm when there is no clean recovery path.

Common scenarios we recover from

  • Server or storage failure. We restore systems to standby hardware or the cloud quickly so the firm keeps working.
  • Accidental deletion or overwrite. Granular, point-in-time recovery lets us bring back a single document or folder as it existed before the mistake.
  • Corruption or failed updates. We roll affected systems back to a known-good state.
  • Lost or stolen devices. With proper backup and sync, no critical work lives only on a device that walks out the door.

Data preservation and litigation-hold considerations

Backup and legal preservation are related but not the same, and firms need to understand the distinction. A litigation hold may require preserving specific data in a defensible, unaltered state for a long period, while routine backups operate on a rotating retention schedule. If a hold lands and your backup retention has already cycled, you have a problem.

We help firms align retention policies with both operational needs and preservation obligations, so that when a hold is issued you can preserve the relevant data without scrambling, and so routine deletion does not inadvertently destroy something subject to a hold. This coordination between IT and the firm’s records and risk policies is exactly the kind of planning a mature backup and disaster recovery program should include.

What’s included

  • Backup of your document management system, email, matter files, and practice data

Frequently asked questions

Isn’t Microsoft 365 already backing up our email and files?
No. Microsoft 365 provides limited retention and replication, but it is not a true backup. Deleted or corrupted items can be lost permanently after the retention window. We add real, recoverable backup of mailboxes, files, and SharePoint.

How often should our backups be tested?
We test restores on a defined recurring schedule and document each successful test. An untested backup can fail silently for months, so verification is the only way to know recovery will actually work.

What are realistic RTO and RPO targets for a law firm?
It depends on the system and your tolerance for downtime and data loss. Many firms target same-day or faster recovery for the DMS and email, with tight RPOs during heavy document work. We set targets with you and engineer to meet them.

Can you help us recover from ransomware without paying?
Yes. With immutable, isolated backups, we restore from a known-good point rather than negotiating with attackers. The goal is to make payment unnecessary.

How does backup relate to a litigation hold?
They are different. Backups rotate on a retention schedule, while a hold may require preserving specific data unaltered. We help align retention so holds can be honored and routine deletion does not destroy protected data.

Do you offer cloud-based or hybrid backup?
Yes. We design on-premises, cloud, and hybrid configurations depending on your firm’s size, systems, and recovery objectives, including full cloud backup and disaster recovery for office-level resilience.
