Document Discipline

Don’t Lift-and-Shift Twenty Years of Mess

Every company has one: the F: drive with nineteen years of folders, seven “FINAL” versions of everything, and permissions nobody has dared audit since the last office move. Dragging that into SharePoint recreates the problem at cloud prices. Advanced Networks designs SharePoint environments around how your teams actually find and use documents — then migrates your file server into that structure, with permissions rebuilt deliberately and every department able to find Tuesday’s file on Wednesday.

We’ve built document environments for law firms in Los Angeles, manufacturers in Orange County, and startups in San Francisco. The structure differs; the discipline doesn’t.

  • Information architecture designed before a single file moves
  • A permission model by role and site, not inherited chaos
  • Search that surfaces the current version first
  • Governance so the structure survives its second year

What We Deliver

From File Server to Findable

Six disciplines behind a document platform that works.

📦
File server migration
Shares inventoried, cleaned, deduplicated, and moved into SharePoint with metadata and permissions mapped — the server retires; the chaos doesn’t come along.
🏗️
Information architecture
Sites, libraries, and metadata designed around departments and workflows — the difference between SharePoint that organizes and SharePoint that merely collects.
🔐
Permissions & governance
Role-based access that survives audits: who can see contracts, who can edit financials, and how new projects inherit the right defaults automatically.
☁️
OneDrive integration
Personal files, team files, and sync policies drawn with a bright line — plus Known Folder Move so desktops and documents quietly back themselves up.
🏠
Intranets & knowledge hubs
Company news, policies, and team pages people actually visit — built on modern SharePoint, not the intranet-graveyard pattern.
🤝
Controlled external sharing
Clients, vendors, and partners get exactly the folder they need — with expiration, audit trails, and no more emailing the ZIP.
The Patterns

Why SharePoint Projects Get Abandoned

Six anti-patterns from environments we’ve rescued.

01
The lift-and-shift
The old folder tree copied wholesale — same mess, new address.
02
Everything synced
Every library synced to every laptop until sync breaks everywhere.
03
Permission by exception
Years of one-off grants until access is unexplainable.
04
One person’s logic
A structure that made sense to its author, and to no one else.
05
No naming, no metadata
“Scan_0047 (3).pdf” — multiplied by two hundred thousand.
06
Launch, then neglect
No owner after go-live; the mess quietly rebuilds itself.

Real Outcomes

Servers Retired, Sanity Restored

Recent document projects across our three markets.

01
2TB, three weeks, no VPN since
A commercial real estate firm’s aging file server held 2TB across 1,400 folders. We rebuilt it as twelve SharePoint sites with role-based access — leasing teams now work from anywhere, and the VPN is history.
02
The audit that took an afternoon
A compliance review demanded proof of who could access financial records. The old server couldn’t answer; the rebuilt permission model produced the report in one afternoon.
03
An intranet with a pulse
A 130-person company’s announcements lived in reply-all threads. Their SharePoint hub — news, policies, HR forms, onboarding — now sees more weekday traffic than the old server ever did.
Frequently Asked Questions

SharePoint Decisions, Demystified

What teams ask before committing to the move.

Should we move our file server to SharePoint?
For most businesses under a few terabytes, yes — you gain versioning, search, anywhere-access, and audit trails the server can’t offer. Very large media and CAD workloads sometimes warrant a hybrid design; we’ll tell you which you are.
SharePoint, OneDrive, Teams — where do files actually go?
One model: OneDrive for personal working files, Teams for active collaboration, SharePoint sites for the official record. We configure all three so the answer is obvious to users, not just architects.
Will mapped drives and old links still work?
We stage the transition — familiar drive-letter access where needed during cutover, then shortcuts and training — so nobody loses a workflow the week the server retires.
Can we control exactly who sees what?
That’s the point: role-based permissions at the site and library level, documented in a model you can read — not four hundred inherited exceptions nobody remembers granting.
What about really large files — CAD, video, datasets?
SharePoint handles individual files up to 250GB, but architecture matters more than limits. We design libraries, sync exclusions, and sometimes hybrid storage so heavy formats behave.
Is SharePoint data backed up beyond Microsoft’s retention?
Recycle bins and versioning aren’t backup. We pair SharePoint with independent backup and disaster recovery so deletion, corruption, or ransomware can’t take the document record with it.
